•Maintaining a correct indexed and up to date database, register, and archive of all related documentation (e.g. Appointments, exemptions, audits, reports, Engineering Standards, procedures, OHSAS & ISO, Minutes of Meetings, Permits, etc.).

•Management of all necessary documentations to be sending to DMR (Department of Minerals Resources), & keeping record on all correspondence with the DMR on a Matrix data base.
•Compiling Fatal Documentations before and after fatal inquiry.
•Ensuring compliance with OHS Act and ISO Standards.
•Internal Documents Auditing.
•H&S Meetings and Scheduling meetings.
•Compiling various Presentation (Accident / Incidents / Near Miss Reports)
•Compiling of Reports (daily, weekly and Month End.)
•Reviewing Month-end Reports, audit reports, etc. of clients
•Draft of legal documents, e.g. DMR Quarterly Reports, Mine Monthly Reports, Occupational Hygiene Surveys, etc.
•Keep necessary documents up to date for H&S Systems (daily, weekly, monthly reports)
•Office Assistant to H&S Manager and Safety Officers
•Supervising the admin clerks on their duties of compiling daily, weekly, monthly Reports from Safety officers.
•RMS Support (Capturing & creating NEW forms in RMS; Creating formulas for capture forms and allocating hazards in the capture form thereto; allocating risk ratings to hazards and linking risk ratings to hazards not linked in reports; Creating new workplaces as well as inactive workplaces active again; Creating excel spreadsheets/workbooks of capture forms with hazards and risk ratings)
•Create notifications as required
•Create Work Orders as agreed upon during meeting with foreman
•Create Requisitions & Reservations on and requirements with uploading for SAP
•Send Invoices to be proceed by Accounts/ Costing Departments and Atlantis
•Print Job cards weekly from SAP fore Foreman’s - SAP
•Scheduling of work in SAP
•Ensure filing system is up to date and accurate on SharePoint
•Effective use of supporting systems to enable planning – SharePoint
•Assistant Planner in meetings or when not on surface
•Supervising the Admin Clerk on his duties
•Checking the License to Mine daily for issues picked up and critical skills
•Checking the compliance on Comp “A”
•Checking and monitoring Stop/Start documents
•Checking Planned vs booked daily
•Checking MO Daily Reports on blasting bookings
•Measuring List for MRM monthly
•Checking CCR compliance and issues reported in Nyakaza
•AGA Action Manager
•Checking compliance on outstanding actions and closing signed-off Actions
•Invoices/Purchases/Sales/Bank Reconciliation/Contact Details/Remittance/Statements/Quotations
